What is the scope of this document?
Nuclear Innovation and Research Advisory Board (NIRAB) is hosted by United Kingdom National Nuclear Laboratory Limited (UKNNL) through the Nuclear Innovation and Research Office (NIRO), also hosted by UKNNL. UKNNL (also referred to as we, us and our in this privacy notice) is committed to protecting and respecting your privacy.
This privacy notice (together with any information and documents presented on the ‘Expression of Interest’ page on our NIRAB website) sets out the basis on which any personal information we collect from you, or that you provide to us, will be processed by us. Please read the following carefully to understand how we, as data controller of your personal information, will treat it.

You have the right to complain to us in connection with your rights in relation to your personal information. You can submit a complaint to [email protected] or by using the Contact Us page on our website (www.UKNNL.com). When we receive a data protection complaint, we will take appropriate steps to respond without undue delay, which may include making enquiries into the subject matter of the complaint and, where appropriate, keeping you informed about the progress of our handling of the complaint. We will Inform you of the outcome without undue delay.
You have the right to make a complaint at any time to the Information Commissioner’s Office (ICO) (www.ico.org.uk) or judicial levels. We would, however, appreciate the chance to deal with your concerns before you approach the ICO so please contact us in the first instance.

Your duty to inform us of changes
It is important that the information we hold about you is accurate and current. Therefore, if you have provided us with your information (such as your contact details), please keep us informed of any changes.
What information will we collect about you?
We collect the following categories of personal information about you:
- Your name.
- Your contact details (such as your email address, postal address and telephone number).
- Information relating to your application for membership of NIRAB (such as your role, organisation, expertise, professional experience, awards, recognition, publications and CV) which may contain information which identifies you.
- Your photograph.
- Information we may ask you to supply to enable us to carry out verification checks in support of your application such as your passport.
How will we use the information about you?
Your information will be used to:
- Select membership of NIRAB in consultation with the Department for Energy Security and Net Zero (“DESNZ”).
- Where successful, communicating with you about membership activities such as:
- board meetings;
- workshops to formulate advice on specific topics;
- seek your input on NIRAB papers to be submitted to DESNZ;
- seek your expert advice to be provided to DESNZ on topic areas as they arise;
- seek your review of or contribution to reports including any annual reports; and
- publish your photograph and a summary of your expertise and experience on the NIRAB website.
The activities summarised above are collectively defined in this Privacy Notice as the Purposes.
We will only use your information when the law allows. Most commonly, we will use your information on the basis that:

- we need to perform a contract we have entered into with you (for example, in relation to the role of Chair);
- we need to comply with a legal obligation (for example in connection with reporting of equality information); or
- it is necessary for our legitimate interests (or those of a third party), and your interests and privacy rights do not override those interests (for example, in order to facilitate membership activities and promote the activities of NIRAB).

How will my information be stored?
We will treat any information provided to us with the utmost respect. Our IT system is certified to ISO27001 and Cyber Essentials. Our IT systems are monitored for any malicious activity, and we will not share your information with anyone who does not have a clear need to know.
How long do we keep your data?
Whenever we collect or process your information, we will only keep it for as long as is necessary for the Purposes for which it was collected. At the end of that retention period, your information will either be deleted or anonymised.
Your photograph and profile will be published and retained on the NIRAB website in order to illustrate the diversity of expertise and experience of current and previous NIRAB members.

Who do we share your data with?
Your information (as appropriate) will be shared with DESNZ in connection with selecting membership of NIRAB and subsequently in connection with membership activities (which may include Government and Departmental Chief Scientific Advisors, officials and representatives of public funding organisations including Research Councils, Nuclear Decommissioning Authority, regulators, and Innovate UK).
We may sometimes share your information, insofar as we are permitted by law to do so, with trusted third parties such as IT companies who support the NIRAB website and other business systems and delivery partners.
We will not transfer your information outside the UK.
What are my rights?
Under certain circumstances and subject to limitations, by law, you have the right to:
- Request access to your information (commonly known as a Subject Access Request or SAR). This enables you to receive a copy of the information we hold about you and to check that we are lawfully processing it.
- Request correction of the information that we hold about you. This enables you to have any incomplete or inaccurate information we hold about you, corrected.
- Request erasure of your information. This enables you to ask us to delete or remove your information where there is no good reason for us continuing to process it.
- Object to processing of your information where we are relying on a legitimate interest (or that of a third party) and there is something about your particular situation which makes you want to object to processing on this ground.
- Request the restriction of processing of your information. This enables you to ask us to suspend the processing of information about you, for example, if you want us to establish its accuracy or the reason for processing it.
- Request the transfer of certain information to another party.
If you want to exercise the above rights in relation to your information, please contact us at [email protected]. You will not normally need to pay a fee to exercise any of these rights. However, we may charge a reasonable fee if your request is clearly unfounded or excessive. Alternatively, we may refuse to comply with the request in such circumstances.
